A major Western Australian Government agency, which provides functions in support of all parliamentary process and business, chose Ajilon to provide Business Analysis, Business Process Modeling, UML Modeling and Technical Writing services.
The client consists of 5 business units whose functions include:
- preparing drafts of Bills for Ministers for passage through Parliament
- preparing drafts of subsidiary legislation for Ministers and government agencies
- compiling and consolidating texts of Acts and subsidiary legislation so that the laws of the State can be published in various forms; and
- maintaining and arranging publication of the annual index to the legislation of WA
This client's legal staff are supported by various administrative units within the Office who maintain various tracking and content management databases to manage legal content through its complex lifecycle from inception to repeal.
Ajilon was required to interview users from the various 'silos' that have arisen and then centrally document their organisational processes and systems from a high level down to detailed steps, in order to clarify practices.
Ajilon employed a standard UML (Unified Modeling Language) Library Documentation approach to achieve suitable coverage, depth and usability and the means to aid review and verification. Stakeholder across various business and IT groups within the Office were engaged and interviewed. After analysis an extensive library of UML documents were prepared and linked to allow for easy navigation, allowing people with varying degrees of knowledge to arrive at the required details
The project provided the client with clarity of process and the various business units interact with each other were able to identify process improvements. The opportunity for all business units to 'stop, interact, record and refine' processes contributed allowed these opportunities to be identified and pursued by staff.
